The Basics of Cover Letter Writing
By RICHARD M. REIS Your cover letter and curriculum vita may well be the most important documents you will ever write. They are the first things most academic search committees see, and if you don't want them to also be the last things, you need to take the time to do them right. Although both your cover letter and C.V. must be able to stand on their own, they are clearly linked and so should be developed in tandem. In this column we will look at the cover letter. Next month we will examine the science C.V. Most applicants write poor cover letters that bear no relationship to what goes on in a particular department or school. They are word-processed form letters, and search committees can spot them right away. "In almost no time we can reject half our applicant pool just by looking at their cover letters," says Susan Lord, associate professor of electrical engineering at the University of San Diego. You can also be sure that at least some applicants for a given position will write excellent cover letters. As one engineering professor at San Jose State University, put it: "I took the time to tailor my cover letter to the school and department. This took a lot of research, but it paid off." Her letter resulted in an interview, and an eventual job offer.

You have probably heard the expression about making a good impression. Well think of your cover letter as your chance to make a good, eye-catching, lasting impression. So when you are writing your cover letter, you need to spend a bit of time on it and put some thought into what you actually want to say. Many people struggle with this part of the resume process because you essentially have to sell yourself. So here are a few pointers you can follow to make writing your cover letter a little easier.
  • Take the time to customize your cover letter for the position you are applying for. Pay close attention to whom the cover letter is being addressed. You would make a terrible first impression if you addressed the cover letter to the wrong person. Keep your cover letter at an appropriate length. A general rule to follow is to keep it under one page. Any longer and you may risk putting the reader to sleep. Point out your top selling points as they relate to the job position and job description. If the job description calls for strong computer skills, describe the computer skills that you do have to offer.

    Address the right person
    Read the job ad carefully and pay special attention to the person your application is addressed to. Don't take it for granted and address "Dear Sir" when it's obviously a female recipient. It looks even worse when you address "Dear Human Resources Manager" but the ad says to the "General Manager". It's only the start of the letter and you don't want the reader to stop there and discard your application.
    Name the correct title as it's advertised Make sure you are naming the job correctly. You may be applying for a few positions at the same time but don't mix up. Have the Position in bold to catch the reader's attention so that he or she won't get mixed up either. Making the recruiters' job easier is not your duty but you should do everything possible to get your application to stand out from all the rest. Do include the job reference number if you are requested to do so.

    Digital design / Multimedia has been around for a number of years, but it is only within the past few years that it has been recognized as a rapidly emerging new industry. An important and interesting difference between careers in multimedia and many other career areas is the large proportion of freelance workers in the industry. Many people with careers in multimedia are not steadily employed by a single company or employer, but rather move from project to project working on a contractual basis. Each new project may bring together a different collaboration of professionals into what might be considered a "virtual company" with a life limited to the duration of the project. These professionals create a virtual workforce who are often paid by the hour and expect their current employment to terminate with the end of the project. Therefore, these freelance workers must have a number of entrepreneurial skills in addition to their technical skills. They must also be able to work effectively as a member of a team whose membership changes with each project.
